Responsible for providing administrative and media relations support to the Communications team.
Essential Duties and Responsibilities:
Assists communications team with coordination of logistics for media visits to Baltimore, press conferences, and briefings;
Assists in the daily maintenance of media monitoring tools by tracking of media placements and editing and distribution of broadcast coverage;
Maintains and makes monthly updates to the Media Clips Log; and keeps information current in the CRM database;
Works with PR team to manage photo library and requests;
Assists in creation of media amenity bags and handles delivery to hotels;
Assists department with research, ideation of media-worthy angles, proofreading;
Generates content and oversees distribution process for the monthly membership e-newsletter;
Assists the PR team with responding to general media inquiries, media visit requests and the monitoring of media leads as assigned;
Assists in the ordering and preparation of amenities for media use, as well as in the request of amenities and/or in-kind donations from members for fulfilling community support donation requests (the latter including tracing community support donation requests and fulfillments);
Updates materials in press kit and media section of Baltimore.org with current information as needed;
Assists the PR team with writing of press releases, website content and newsletters as assigned;
Assists with editing of video clips as assigned and with on-site social media activations;
Provides staff with daily news articles relevant to Baltimore and the hospitality industry;
Assists in media-facing visits, providing assistance on group and individual familiarization tours;
Provides general office support to the Communications department;
Assists Communications department with all aspects of project management;
Provides administrative assistance to the Communications department in scheduling of meetings and out of town travel;
Represents Baltimore at industry events and media missions as assigned;
Assists the department in the compilation and administration of ongoing reports, status updates, charts, graphs, annual marketing and communications plans for the division;
Assists department with processing of invoices and maintains accurate records of monies spent year to date;
Prepares conference rooms for onsite meetings, including ordering of off-site catering, etc.;
Captures minutes from internal and external meetings and prepares recap of discussions;
Complies with Company policies and procedures;
Any other duties as assigned.
Bachelor’s degree in PR, Communications or related field and 1+ years’ experience; or equivalent combination of education and experience;
Must have excellent verbal and written communication skills;
Strong organizational skills with ability to create logical and effective filing and tracking systems;
Proficiency in Microsoft Office products to include Word, Excel, PowerPoint and Outlook;
Basic video editing skills preferred;
Positive attitude, dependability and professionalism are a must;
Flexible work schedule with ability to work occasional evening and/or weekend hours as needed.
