Reports To: Director of Sports, Tourism and Convention Sales
Sales & Services for Sports, Tourism, & Convention Sales Market Segments within the Valley Forge Convention & Tourism Board.
Primarily responsible for tradeshow management, sales blitz/mission coordination, prospective client & facility research, sales client events management & lead system coordination assistance.
This position will be responsible for direct sales efforts with wedding market to generate both service leads and definite bookings, which will involve a annual sales goal for both service request and definite room night bookings; therefore, this position would qualify for a bonus incentive plan.
Additionally, this position acts as the marketing liaison to maintain efficient and productive interdepartmental communications; along with hotel/member partnership communications.
ESSENTIAL DUTIES AND RESPONSIBILITIES: includes the following. Other duties may be assigned as needed.
Tradeshow Participation, Sales Representation and Schedule Management including Bridal Shows (Representation, Travel, Attendee Registration, CRM Tags & Pre-Post Show Reports)
Coordination and updating of all web based lead generation systems the Board is involved (Reader board, Mint, LinkedIn, Cvent etc.) in addition to researching and recommending other prospecting and show opportunities; Assign CVENT leads & Update Cvent Profile; CRM Assistance - Input and Tagging
Interaction with the sales team to ensure market coverage including trade show follow-up, telemarketing and contacting prospects uncovered from events and blitz/missions
Manage and maintain with sales by researching tourism opportunities, sports facilities, meeting and convention business from online sources
Developing ground work for new/emerging markets by researching Destinations International database, finding web based listings, subscribing to related publications and web listings; Updating Empowermint & Mint
Coordination of Group Tour Newsletter, with support from Sales Assistant
Create & Manage sales kit inventory & welcome gifts; with support from Sales Assistant
Create New Hire Welcome Binder, and manage Intern Support and Task Delegation
Miscellaneous Administrative Tasks: Reception Area Coverage, Mail Room/ UPS assistance / clean up (as needed), Expense Report Assistance, Material Mailing, Master Calendar updates
Create and Implement 30-60-90 Strategic Plans, process Tourism Booking Reports
Marketing Liaison; attend weekly Marketing meeting, Work order Mgt & Meeting (every Tuesday); Manage Marketing Promo items for Sales, Membership, Kiosk, VFTCB Re-orders
Assist w/Park & Wedding & Meeting Service Requests
Responsible for an annual Room Night Goal within the Wedding Market Segment
Plan, Coordinate, Attend & Support all Events; Sales, Services & Membership Events, with guidance from Director of Events, Membership and Services
Manage Sales & Membership PO's & Check requests, with support from Sales Assistant
Telemarketing and contacting prospects clients to uncovered from events and blitz/missions
Administrative Management of Event Funding Program both binder and digital folders, with support from Sales Assistant
Attend qualified industry events – as needed
Participate in site tours and meetings with potential clients – as needed
Build bid packages and Power Point Presentations for sales staff
Misc. projects for sales team

Able and willing to travel, weekend work schedule as needed
Position requires occasional overnight and weekend travel
Computer capability, experience with Microsoft Office Software
CANDIDATE REQUIREMENTS: Bachelor’s degree; Strong selling skills; excellent oral and written communication skills; strong analytical skills; valid driver’s license, local area knowledge, prior hospitality industry (hotel, catering, attractions, etc.) and/or sales experience is a plus.
EDUCATION/EXPERIENCE: A college graduate with least 3-5 years of experience in a customer service or sales related position or equivalent combination of education and experience.
QUALIFICATIONS: To perform this job successfully candidate should demonstrate a high level of energy, discretion, flexibility and good judgment, as well as an ability to work with senior executives and business partners. Must possess strong written and oral communications skills, as well as excellent organizational skills.
LANGUAGE SKILLS Ability to read, analyze, and interpret general business periodicals, industry and trade journals, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.
MATHEMATICAL SKILLS Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra and geometry.
COMPUTER CAPABILITY: Knowledge of database management, Microsoft Office Suite, Power Point, mass mailing and e-mailing, mail merge of word processing and Internet research.
REASONING ABILITY: Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form. Lead by example.
WORK ENVIRONMENT and PHYSICAL DEMANDS: Must be able to meet the typical physical and emotional demands of a standard office environment. This may include occasional lifting of boxes weighing up to 40 lb. The position does require some weekday and weekend travel.
