This SENIOR CONSULTANT will be part of the Break The Ice Media management team with their sole focus on the Travel Alliance Partners account. This position’s primary role is to assume the responsibilities and leadership position of Executive Director for Travel Alliance Partners (TAP).
Travel Alliance Partners, LLC® (TAP) is an organization of North American tour operators who have joined forces to create a very distinct organization, whose main purpose is to create tour product that is entertaining, exclusive, and fairly-priced for consumers. Through buying power, created by volume purchasing, the promotion of each company’s tours through the network of Partner?owners, and its diverse menu of tours and exclusive components, each TAP member enhances profitability and supplier reliability. TAP member’s list of tours and options include the opportunity to offer a large array of Guaranteed Departures.
TAP has contracted with Break The Ice Media to provide leadership and organizational management services.
The Executive Director will oversee all operations of the TAP Company including: daily operations, member services, website, participation programs, contract services and marketing.
The SENIOR CONSULTANT must have strong verbal and written communications skills, problem-solving skills and an eye for detail. An ability to manage multiple projects, team members and stakeholders in a fast-paced environment is critical. This person should be an energetic self-starter capable of working independently or leading a team. Must have 10 years’ experience in the travel and tourism industry including management and marketing roles.
Executive Director Responsibilities:
Direction and Leadership. The Executive Director will create an annual work plan to help guide and facilitate activities for the organization. The types of activities that fall under this category include:
Manage the day-to-day affairs of the organization
Act as liaison with officers and directors
Act as liaison with affiliate and Guild members
Facilitate the work of volunteers and assist in developing and meeting deadlines
Maintain an annual planning calendar
Support Board in the development of program procedures and project action plans
Assist with needs assessments and strategic planning undertaken by the organization
Provide professional organization management advice to the officers and directors
Program, Product and Service Delivery. The annual work plan will identify opportunities for growth of existing revenue streams and identification of new revenue. The Executive Director and account team will facilitate the tactics and activities needed to achieve revenue goals and support the development of products and services. These activities may include:
Facilitating cooperative promotions and advertising
Development of collateral materials
Coordination of digital marketing
Creation of new programs and/or promotions
PPTP (Suppliers) Program. The annual work plan will include focus on maintaining and building relationships with Guild Members. Maintaining TAP’s industry only travel tracking system will include refining processes for data collection and disseminating information in useful and concise ways. Activities in support of this area may include:
On-going outreach to Guild members
One-on-one conversations seeking feedback and offering assistance
Member-only webinars, meet & greets and newsletters
Meetings. The Executive Director and account team will create and execute event plans for each meeting that TAP hosts including: TAP Dance, semi-annual member meetings and quarterly board meetings. The event plans will include detailed descriptions of the following elements:
Entertainment Booking & Coordination – including sound, AV, staging
On-site vendor and sponsor check-in
Site logistic coordination - including rentals, electric needs, decorations, catering, etc
Sponsor solicitation & fulfillment
Marketing & Publicity
Budget development & tracking
Event Program Book
Goody bags for vendors and attendees
Event signage (welcome, sponsors & directional)
Event photography & video
Pre & post event surveys
Website. The Executive Director and account team will support the website through a detailed Digital Marketing plan that will include content strategy, functionality enhancements, SEO considerations and other digital channels such as social media, blogs and video. Activities in this area may include:
Liaison with Technology Committee
Liaison with website developer and other vendors in support of the website (hosting, e-commerce etc.)
Development of content and copywriting in support of the digital plan
Maintaining and monitoring of social channels
Membership and Marketing. The annual work plan will include a plan for membership development and enhancement of existing membership benefits. The plan may include the following activities:
Attendance at trade shows including ABA, NTA and Select Traveler
Trade show sales plans that include pre, during and post show outreach to maximize participation
Liaison with the Marketing Committee and support of programs and promotions developed by the committee
Development and implementation of a membership strategy including; membership sales materials, identification of prospects, selling memberships and fulfillment
Company records and reporting. The Executive Director will be responsible for overseeing the financial records of the organization under the direction of the Treasurer and Finance Committee. These activities may include:
Assist the Treasurer and finance committee with the development of the annual budget, and in management and control of the final, approved budget
Monitoring budget vs. actual and providing regular reports to the Board
Working with the bookkeeper to receive and record payments and forward reports to the Treasurer once a month.
Review invoices and authorize payments
Work with the bookkeeper, prepare financial statements through the general ledger; in preparation for the auditor and filing of tax returns
Provide monthly, quarterly and year-end reports detailing activities, leads generated, secured bookings, and marketing effectiveness
Tour Departures Program. The Executive Director and account team will manage the Tour Departures Program. Activities may include:
Answering inquiries from consumers via phone or email
Providing leads to partners
Managing the reservation system
As SENIOR CONSULTANT with Break The Ice Media, there will be an account team assigned to the TAP account to assist the Executive Director with the responsibilities outlined.

Team Player: Functions well within a team environment and can also transition to independent work, while also seeking opportunities to support other team members.
Writer: Exceptional writing skills and the capability to clearly and concisely communicate thoughts, marketing messages and PR stories. Uses creative and grammatically correct writing to produce powerful and effective communications.
Knowledge & Skills:
Minimum of 10 years tourism or hospitality industry experience. Working in a management capacity with a Tour Operator, Travel Agency, DMO, CVB or other industry-related entity is ideal.
A passion for travel and knowledge of the tour and travel market is preferred.
Bachelor Degree or higher in hospitality, communications, marketing, business or relevant field is preferred.
Strong writing and presentation skills.
Adept at using Microsoft Office, especially Word, Excel and PowerPoint.
Ability to travel 1-2 times per month.
Telecommuting is allowed.
